Closing Sheets

Settle a delivery with the carrier — rates, delivery fees, blankets, a charge to the carrier, and the driver signature that closes the sheet.

A closing sheet settles a delivery with the carrier who runs it: what the carrier is owed, what comes off, and what is left for your company. It lives at Carrier Dispatch → Closing Sheets. Each sheet belongs to one carrier and can hold several of that carrier's jobs.

Finding your way around

Four counts sit at the top: Sheetable Booked Estimates (ready jobs with a carrier that aren't on an open sheet yet, plus how many still need a carrier), Pending Sheets, Closed Sheets and Pending Balance.

Below them is Closing Sheet History. Narrow it with All Carriers, All Statuses (Pending or Closed) and All Time (This Month or an earlier month), or with the search box, which finds a sheet, carrier, driver, signer or estimate number. A job number works without its letters in front or its dashes.

Each row says pending signature or signed & closed, and has Open / Edit, Print, Email Driver to Sign (pending sheets only) and Trash. The Active button switches the list to the trash, where Restore brings a sheet back.

If the list says No closing sheets found, usually no sheet has been made yet for the carrier or month you picked — not that something is broken. If a job is missing when you build a sheet, it usually has no carrier yet. Each carrier's sheets are also listed on its Closing Sheets tab in Settings → Carriers.

Creating a sheet

A job is ready for a sheet once it is Picked Up, In Storage or Ready for Delivery and has a carrier — normally its delivery carrier, set with Assign on Ready for Delivery or on the Delivery tab of the estimate's Dispatch tab. A job sits on one open sheet at a time.

  1. Click New Closing Sheet.
  2. Choose the Delivery Carrier. Every ready job assigned to that carrier is selected; click a job card to take it off, or use Select All and Clear.
  3. Choose the Saved Trailer Driver — the screen marks it required to close. Only drivers saved on that carrier appear, and the driver needs an email.
  4. Check the rates, fees and blankets below.
  5. Click Save Sheet.

On a saved sheet, Add Job adds more of that carrier's ready jobs, and Remove on a row takes one off before it is signed. The carrier can't be changed once the sheet is saved.

What goes on the sheet

Delivery Information. The carrier, the trailer driver and their phone, plus Owner/Dispatch, Inventory Done By, Operator and Stacker — the names of the people involved.

The rate. Each job's Carrier Rate starts at $2.25 per cu ft. You can raise it, but never below $2.25. Blanket CuFt Rate and Blanket Labor Rate with Apply to All fill every job at once, and each row stays editable afterwards. The Labor Rate starts at $0.15 per cu ft unless your company has set its own. To Carrier is CU FT × Carrier Rate, minus the Labor Fee.

The load. CU FT, Estimate Balance Due and Pads read the booked estimate: the true cube, the payment ledger and the pads stored with the job. Type a number on a row only to use a different one on this sheet; the estimate itself doesn't change. A job with no true cube on the estimate or the sheet shows as withheld, and the sheet can't be signed until one is entered.

Delivery fees. Stairs, Long Carry, Extra Stop, Bulky and Shuttle / Misc — dollar amounts for what actually happened at delivery. They are collected from the customer at the door, so they are not part of carrier pay or your company's settlement.

Totals. Total CU FT, Customer Balance and To Carrier, then the Final Settlement Balance: your company's share, which is the balance on the BL minus To Carrier.

Blankets. Total Blankets Returned and Total Blankets Owed are counts (the signed sheet shows them under Blanket Accountability). Nothing is multiplied by a blanket rate.

Misc. charge to carrier. Anything the warehouse charges the carrier, such as $100 for cleaning: enter the amount and What it's for (required). It comes off To Carrier and is added to your company's share, and the driver sees it on the sheet they sign.

Notes carry anything the numbers don't explain.

Pull lists. Print Pull List prints the lot, pads and storage spots for every job on the sheet, and each row has its own pull list.

A job that owes storage is marked on its row with This job owes storage – cannot be dispatched out. Saving and signing are still allowed: staff decide.

Closing it

A sheet closes when the carrier's driver signs it — never by hand. Save any changes first: the saved sheet is what gets signed.

  • By email. Email Driver to Sign on the list, or Send for Signature on the open sheet, emails the driver a secure link. The link is good for 72 hours, and sending again replaces the older link.
  • In person. Open the sheet, have the driver sign in Carrier/Driver Signature, type the Driver printed name and click Sign Closing Sheet.

The Warehouse/Office Signature can be added at the same time, or later with Add Office Signature. Once the driver signs, the sheet is Signed & Closed: its figures are frozen exactly as signed, and only the notes can change. Print and Download PDF give you a copy.

If it won't send or sign

  • No saved driver, or no email. The driver must be saved on the carrier, active, with a valid email. Add them in Settings → Carriers, on the carrier's Drivers tab under Trailer Drivers.
  • A job has no true cube. Enter it on the sheet or on the estimate.
  • A job's carrier changed. The row says Estimate carrier no longer matches this sheet. Fix the carrier on the estimate, or remove the job.
  • A charge to the carrier has no note. Fill in What it's for.
  • The email can't go out. Your company needs a connected Operations or Company default sender. See Email Integrations.

If you cannot see this screen

Closing Sheets is part of Carrier Dispatch. If the whole section is missing, either Carrier Dispatch is not enabled for your company or your account has the Block Carrier Dispatch restriction. Block Closing Moves is different: it stops someone marking a job Delivered or Completed on the estimate, and it doesn't stop closing sheets. An administrator controls both. See User Roles and Access.
