Managing Leads
Create, assign, and work leads through the CRM from new inquiry to booked move.
Every move starts as a lead. The Sales section of the sidebar has three entries:
- CRM — My Dashboard and Follow-ups: your own leads, grouped by priority. See Staying On Top of Follow-Ups.
- All Leads — every lead that has a rep, with lead counts for the date range and source you pick at the top.
- Assign Leads — the unassigned pool. The sidebar shows how many are waiting.
Sales and Customer Service accounts see only the leads assigned to them in these lists, so their Assign Leads pool is always empty. Managers work the pool.
Lead statuses
- New — just arrived, not yet worked.
- Active — being worked by a salesperson.
- Quoted — an estimate has been presented.
- Booked — an estimate for this lead has been booked as the move.
- Lost — the customer went elsewhere.
To see one status only, pick it in the All Statuses filter above the list. The other filters are All Reps and All Sources, and the search box finds a lead by name, email or phone.
The Move Date column flags urgency: "3d overdue" in red once the date has passed, Today, and "3d out" in amber within 7 days. A red Overdue count next to the filters shows how many open leads have a move date in the past. Click Move Date, Received or Priority at the top of a column to sort by it.
Creating a lead
- Click the + button in the top bar (its tooltip reads Create New Lead). The Quick Create New Lead dialog opens.
- Enter the customer's First Name, Last Name and Phone (all required), and their Email if you have it.
- Enter the Pickup ZIP and Delivery ZIP (both required), and the Move Date if you know it.
- Check the Referral Source. It starts as Manual Entry; type or pick another, such as Google, Yelp, Referral or Facebook.
- Click Create Lead.
The new lead is assigned to you and opens straight away, ready for its first estimate. You don't pick a service department here: that is chosen on the estimate, when you price the move. If the + button isn't there, your account has the Sales CRM blocked.
Leads also arrive on their own from your lead providers and your website (see Website Lead Intake API). A provider lead that names one of your reps goes straight to that rep; the rest wait in Assign Leads.
Assigning leads
- Admins can give a lead to any rep: use the Rep dropdown on the lead's row in Assign Leads or All Leads, or the Assigned Rep field on the lead page.
- Several at once (admins only): tick the rows, click Assign Selected, pick the rep under Assign To, check the preview and confirm with Yes, Assign.
- Everyone else can take an unassigned lead for themselves from the same dropdown, or put their own lead back to Unassigned (General Pool on the lead page).
If an assignment is refused, your account has the Block Assign Leads restriction.
Creating an estimate claims an unassigned lead. When you create an estimate on a lead that has no rep, the lead is assigned to you, as long as your account appears in the assignment lists (the Show in Assign/Reassign List privilege, which the Sales, Quality Assurance and Auto Transport jobs have). A lead that already has a rep always keeps that rep.
Working a lead
Click any row to open the lead. Across the top are Appointment (schedule a call, visit or payment reminder) and, if your account may delete leads, Delete Lead. The cards below hold the customer's details with call and email links, the lead's Appointments, and Lead Core Records: Received, Assigned Rep, Referral Source, Size, Lead Status and Lead Priority. The move type (Local, Long Distance or Auto Transport) is set on the estimate, not the lead. Once the lead has an estimate, Open Send Center appears on the customer card.
Under the cards are four tabs:
- Estimates — build and manage estimates for this lead (this is where booking happens).
- Email History — every email the app sent this customer.
- Notes — every written note on the lead and on each of its estimates, in one list.
- Priority — Set Lead Priority: tiles P0 to P5, a Past Move tile that marks the lead lost, and Reset back to Priority 0.
You can also change a lead's priority straight from the Priority column of a lead list.
Delete Lead removes a lead permanently. A lead with payments, signed documents or other job records can only be deleted by a Super Admin, who first sees exactly what will be removed and types DELETE to confirm.
