Payroll and Commissions
Run a pay period, understand how sales, Quality Assurance and foreman commission is earned, and export to QuickBooks.
Open Payroll in the sidebar. Choose a Pay Period at the top — This Week, Last Week, Last 2 Weeks (where it opens), This Month or Last Month, or your own Start and End dates — and the whole screen recalculates for that window. Every figure below it belongs to the period you selected.
Under the period are three totals (This Period, Employees and Earning), your saved pay-period tabs, and the Department Drill-Down: one tab per group (Sales, QA & Auto, CS & Dispatch, Drivers, Foremen, Crew & Labor and Admin & Other), listing each person's Rate, Commission, Adjustments, Total and Verified status. Manage Workers opens the Workers page for crew and their rates.
Running a pay period
- Open Payroll and set the Pay Period.
- Click a person's row to see the jobs behind their number, or View to open their own payroll page in a new tab.
- Add a one-off amount with the + button on their row (Add manual adjustment). A negative amount is a deduction.
- Click Verify once you have checked a person.
- Use Export for QuickBooks when the numbers are right.
Nothing is locked or approved. The report is live-computed, so it always reflects the current state of the underlying jobs and payments. If a job changes after you look, the number changes. Verify only records who checked the figure: if the figure moves later, the button reads Re-check.
To keep a date range, click Save as pay period. It becomes a tab above the Department Drill-Down (oldest on the left) showing how many people are verified, with its own export and delete buttons. Deleting a tab un-verifies everyone verified in it.
How sales commission is earned
A commission belongs to one rep per job — the person the booked estimate is assigned to. It never splits between two reps, and payments are credited to the estimate's rep automatically.
How much depends on the Commission Type on the rep's user record (Settings → Users):
- % of Full Move — their rate on the estimate total as it was first booked. A revision after pickup, up or down, does not change it. It pays once the customer has paid money toward the move.
- % of Deposit — their rate on the deposit the customer actually paid, capped at the deposit quoted. Money quoted but not received earns nothing.
- % of Binding Fee — a tiered percentage of the period's binding fees, each counted only up to the money received on that job. The tiers are real, editable rows in Settings → Payroll → Binding Fee Commission Tiers (25%, then 30% at $10,000 and above, unless you change them), and the higher tier applies to the whole amount, not just the part above the threshold.
- % of Quality Assurance Payments — their rate on each Quality Assurance payment credited to them (see below).
If a rep has no Personal Commission Rate set (blank or 0), full-move and deposit commission default to 5%.
Quality Assurance commission
A Quality Assurance payment is recorded on the estimate's Payments tab with Payment Type Quality Assurance, and it must name its QA Rep. That person earns their rate (20% when none is set) on the payment, in the period the payment is received. It never pays the sales rep or the foreman.
How the foreman is paid
The remaining-balance percentage belongs to the foreman, not the driver. Pay follows the role that person was assigned on that specific job, never their job title.
The same person assigned as driver on a move earns nothing on it. Assigned as foreman, they earn their personal rate (5% when none is set) on the job's final total minus the deposit actually collected.
The final total follows the job's Revision tab: when a job is revised, the foreman is paid on the revised total as it stood when the pay period closed (its last day plus a 3-day grace, by the Pay Frequency in Settings → Payroll). A revision made after that does not change pay already earned. Sales commission stays on the first booking either way.
A foreman's rate is the Personal Commission Rate on their user record (Commission Type % of Remaining Balance (Foreman)), or, for someone on the Workers list, Commission % of Move.
Drivers, helpers and hourly labor earn no commission in the app. Hourly and per-move base pay is not paid in the app either — those crews are paid through your own time clock — so their hours and moves are shown but their base pay is $0, and overtime is not calculated. Weekly salary (prorated to the length of the period), daily flat rates and manual adjustments still apply to anyone.
Which period a commission lands in
This is the usual source of "where did it go":
- Sales commission pays in the period containing the booking date.
- Quality Assurance commission follows the date the payment was received.
- Foreman pay follows the pickup date.
- Adjustments follow their own date.
- Clawbacks follow the date of the refund.
So a job booked in one period and picked up in the next pays the rep and the foreman in different periods. That is intentional.
Why a commission is missing
A partial payment is holding it. If the customer's payment was recorded as Partial, sales commission waits until a pickup payment lands or an administrator clicks Release Partial beside it in the estimate's Payment Records. Foremen are exempt from this hold. When a held commission is released, it pays in the period of the release — it does not go back and land in the original period.
Money went back. A refund, returned payment or chargeback posts a negative clawback line, dated by the refund and naming the job. A % of Full Move rep is clawed back only when the deposit itself goes back, in proportion to the deposit returned; a refund after a price cut never touches them. Deposit, binding-fee and Quality Assurance commission drop by the money refunded. If the move was cancelled but the money was kept, the rep keeps the commission. A cancelled and refunded job also reverses the foreman's pay.
No commission type is set. The person's drill-down says so.
The payment is not filed under an estimate. A payment recorded on a lead with more than one booked estimate, and no estimate chosen, pays no commission until it is filed under the right one. A yellow notice at the top of Payroll lists these.
You are looking at the wrong period. See the timing rules above.
Checking the maths
Every payroll row drills down to per-job accounting — Rep, Estimate, Booked, Pay date, Rate, Estimate total, Deposit and Commission — with a status pill and the reason for any held or clawback line, so you can see exactly which jobs produced a number rather than trusting the total. If a rep disputes their pay, open the drill-down with them — it is faster than recalculating by hand.
Setting up people and rates
- Staff with a login — on their user record in Settings → Users, under Compensation (Payroll): Commission Type, Personal Commission Rate, Weekly Salary and Tax Classification (QuickBooks) (W-2 or 1099).
- Crew on the Workers list — Payroll → Manage Workers: Add Worker or edit a worker, then set the Pay Type (Hourly, Daily Flat Rate, Hourly + Commission % or Per Move (flat)) and the matching rate. The OT After fields are stored but overtime is not calculated.
