Setting Your Rates

Configure local crew rates, the long distance tariff, storage and auto transport defaults so estimates start on your numbers.

Settings → Tariff & Pricing is where your numbers live. New estimates start from here, so get this right before anyone quotes a customer.

The pricing hub has four cards, also listed under Tariff & Pricing in the sidebar: Local Pricing, Long Distance Pricing, Auto Transport and Storage Tariff. Each page has its own save button.

Local Pricing

Local moves are priced per crew, per hour: the hours times the crew's hourly rate. Travel is billed at the same rate.

  • Hourly rate by crew size. One row per crew size, with Men and Crew rate / hr ($). Add rows with Add crew size. When a rep chooses the number of men on a local estimate, that crew's rate fills in as a starting value the rep can change.
  • Default travel hours. The travel time a new estimate starts with.
  • Local minimum ($). A reminder, not an enforced limit. An estimate below it shows a note to staff, and its price is never changed.
  • Crew suggested from cube and Cubic feet per man per hour. Your guidelines for crew size and hours by cubic feet. The estimate does not apply them for you; the rep still picks the crew and types the hours.
  • Operations Surcharge. The percentage added to local labor and travel. This is the same company percentage as Fuel on the Long Distance page; changing one changes the other.
  • Default Men, Default Trucks and Default Labor Hours. Where a new local estimate starts.
  • Labor Rate (per man) and Travel Rate (per truck). Only used by older estimates priced per man, made before per-crew pricing.

Click Save Local Pricing.

Long Distance Pricing

The Master Pricing Matrix is your long distance tariff. A new company starts with a built-in starting tariff so it can quote on day one; change it to your own numbers.

  1. Pick an origin state on the left (use Find Origin... to search).
  2. The grid shows one row per destination state. Each column is a cubic-foot band, and each cell is the rate per cubic foot for that route and size.
  3. Type your rates, then click the save button at the top. It names the origin state you are editing.

The Defaults strip above the grid holds:

  • Baseline /CF. The rate for any long distance route with no matrix entry. It must be more than 0. A new long distance estimate also starts at this rate.
  • Fuel. The surcharge percentage added on top of the line haul.
  • Origin Fee and Dest Fee. Pre-filled on new estimates.
  • Senior and Military. Default discount percentages.

Click Save at the end of the strip.

On an estimate, the rep clicks Tariff next to the line haul rate to look up your rate for that route's states and the estimate's cubic feet.

Storage Tariff

  • Storage Defaults. The Monthly Storage Fee and the CRM Storage Rate / CF. The CRM Storage Rate / CF is the starting price of a new storage job: when a job with no storage rate or fee becomes a storage job (marked To Storage, set In Storage, given a date into storage or placed in a storage spot), it starts at this rate times the job's billed cubic feet, and the storage manager can change it on the job. A job that was already a storage job is never given it. Leave it empty and new storage jobs start with no rate. On an estimate, when a job's Storage rate is blank under Accessorial services, a one-click Use starting rate button offers this rate. Each job keeps its own free storage days and storage rate, set on the estimate builder's Storage box. The job's Storage & Job Details Billing tab shows them read only.
  • Fallback Pricing & Fees. Fallback Rate / CF (the same number as Baseline /CF on the Long Distance page), Default Origin Fee, Default Destination Fee, Senior Discount and Military Discount. These are the long distance defaults again, in one more place.
  • CRM Storage Late Fees. Reference amounts only. They are not charged automatically; staff add a late fee on the job with Add late fee on its Storage & Job Details Billing tab.

Click Save Settings.

Storage bills separately from the move balance, in 30-day cycles, so a wrong rate repeats every cycle. See Storage Billing.

Auto Transport

  • Default Carrier Type. Open Carrier or Enclosed Carrier.
  • Default Vehicle Condition. Running or Inoperable.

These set where a new auto transport estimate starts; the rep changes them per vehicle. The rep types the Total Auto Price on the estimate. The Starting Quote Price and the two surcharges on this page are not added to estimates automatically.

Fee lines and the surcharge name

Under Settings → CRM & Estimates → Estimate Settings, the Charges tab decides which fee lines reps can use and what the surcharge is called:

  • Show Origin Fee, Show Destination Fee and Show Binding Estimate Fee. Turning a line off never removes a fee already saved on an estimate.
  • Surcharge Label. Operation Surcharge or Fuel Surcharge. This is the name on the estimate screen and on the customer's proposal.

Getting it right

Do the long distance matrix properly, once. It is the section people skip and then work around by hand-editing every quote, which is slow and gives prices that do not match each other.

Check a real quote after changing rates. Build an estimate for a move you have already done and compare the number with what you actually charged. Five minutes catches a decimal point in the wrong place before a customer sees it.

Rate changes do not rewrite existing estimates. An estimate keeps the rate saved on it until a rep changes it or clicks Tariff. A signed document keeps what the customer agreed to, and a booked estimate's pricing is locked.

If you cannot see this screen

Tariff & Pricing sits under Settings. If Settings is missing, or estimate settings specifically, your account is restricted. An administrator controls that. See User Roles and Access.
