Warehouse and Storage Basics
Find every job in storage, its lot sticker and its spots in the Storage report, and keep a job's storage details, spots and date out on the booked estimate.
Every job in storage is tied to its booked estimate: the date in and out, the lot sticker, the warehouse, the spots, the first available delivery date and Long Term Storage are all read from that job. The estimate number on a spot is the same move number used by sales, dispatch and payments.
The Storage report
Jobs in storage are listed under Reports → Storage (open to administrators, billing and Customer Service). It is view only, with three tabs:
- Storage queue — jobs the warehouse recorded (In Storage, a spot, or a lot or Long Term Storage once the goods are picked up) waiting for a storage decision, with Collect before delivery at the top (see Storage Billing).
- Jobs in Storage — every job in storage. Narrow it with the View drop-down (Jobs in storage, Balance due, Stored over 90 days, In SIT, Long-term storage, Ready for delivery in the next 14 days, Auction and more), the Warehouse drop-down, a Date choice with From and To dates, and a search by job number, customer, lot sticker, spot or city. Export CSV downloads the list. Switch between List and Spot Map: the Spot Map shows each warehouse's occupied spots and the job in each.
- Billing — storage billing, as a list or a calendar.
Each job carries a colored stripe: yellow is waiting (storage needs to be added or approved), purple is No storage charge, green is good standing and red owes storage. Every row has an Open storage details button that opens the job's Storage & Job Details tab in a new tab. Anything that changes the job is done there.
The job's Storage & Job Details tab
Open a booked estimate and choose Storage & Job Details. Under After pickup the goods go, pick Same Day or To Storage. A To Storage job has these tabs:
- Job — the pick-up date, cubic feet, true cube, Lot Number, Lot Color, Pads / Blankets and warehouse notes, saved with Save Job Details. There is no date-in field: storage starts on the pick-up date.
- Warehouse — the warehouse and the job's storage spots, with Save Warehouse and Release Storage.
- Billing — the free days, rate and 30-day cycle (read only; they are set on the estimate builder's Storage box), the Customer RFD – no storage charge switch and the Date Out. People who handle storage billing also see the balance and statement here.
- Off-site unit — the details of an off-site storage unit.
Customer Service can see this tab but not change it.
Assigning a spot to a move
Spots are assigned from the move, not the map. On the job's Storage & Job Details tab, open Warehouse and pick the Warehouse (the spot list follows it). Under Assign Warehouse Locations choose a Spot Type if you like (All Spots, Vaults, Racks or Floor Spots) and search for a spot label. Only free spots are listed; click each one to select it, then click Save Warehouse (it reads Save Warehouse + Add 2 Spots when two are picked). The spot then shows that job on the Spot Map.
Placing a job in a spot puts it In Storage and fills in its date in with the pick-up date when it has none. Remove takes one spot off; Release Storage frees every spot once the goods have physically left (a delivery payment never releases storage). On a job that owes storage or is waiting for approval, Release Storage and taking off its last spot need an administrator or someone with the Approve storage release privilege.
Spots are created only with Generate Range in Settings → Warehouse → Storage Spots: a spot label reads Zone letter, Row letter, Spot number and Height, so AA17-4 is zone A, row A, spot 17, height 4.
Date out
The Date Out is the day the goods left storage. Set it by hand on the Billing tab and click Save Date Out. It is never filled in from the delivery date, Ready for Delivery, the first available delivery date or a closing sheet's signature.
Pull lists
Each booked estimate's Storage & Job Details tab, and every closing sheet, has the job's Pull List: its lot, pads and storage spots, with a Print / Save as PDF button.
Leaving storage: Ready for Delivery
A job shows on Carrier Dispatch → Ready for Delivery within 10 days of its first available delivery date, when it is marked Picked Up, or when its status is Ready for Delivery. Long Term Storage jobs show only when marked Ready for Delivery. The list is split into region tabs; jobs delivering in the same state sit on the Local tab.
Click Assign on a job to give it a Delivery carrier or schedule Our crew (local) with a delivery date, or set the delivery on the estimate's Dispatch tab → Delivery. A job leaves Ready for Delivery in one of two ways:
- A local crew delivery date is set. The delivery then shows on the Operations Calendar and the Daily Board on that date.
- A delivery carrier is assigned. The job goes to the carrier's closing sheet. Carrier deliveries never show on the Operations Calendar or the Daily Board, in-state or not.
A job that owes storage stays flagged on every one of these screens, but it is never blocked.
