Your Notifications
Every alert the portal sends staff, who gets each one by default, and how an administrator turns it On, Own work or Off for each person.
The portal tells you about work that needs you in three ways: the bell at the top of the screen, a few emails, and a short sound. Which alerts each person gets is set by an administrator, one person at a time, the same way restrictions are.
The notification bell
The bell sits at the top right of every screen. A red count shows how many unread notifications you have (9+ above nine).
- Click the bell to open Notifications. Each row says what happened and how long ago.
- Click a row to open the lead or estimate it is about; estimates open in a new tab. Clicking a row, or its X, marks it read and takes it out of the bell. Mark all read clears the bell.
- The bell holds your unread notifications only, the newest 30. There is no history page of read ones. View all notifications at the bottom of the bell opens My Profile → Notifications, the list of which alerts you get.
- New notifications arrive without reloading the page and play a short tone. Turn the tone off with Notification Sounds in My Profile → Notifications.
- When nothing is waiting, the bell says You're all caught up!
On, Own work and Off
Every alert has one value per person:
- On: every lead or job it applies to in the company.
- Own work: only your own leads, jobs, routes and emails.
- Off: you don't get it.
Some alerts offer only two of the three. A person blocked from an area by their restrictions never gets that area's alerts, whatever their value says; an administrator sees that value muted, with the reason.
Who sets them
- Settings → Notifications (administrators): Who gets each alert is a grid with one row per alert and one column per person, grouped by department. Click a cell to change it, or use Set everyone shown to for the people a filter shows, then save. Reset puts a person back to their department's standard.
- Settings → Users → a person → Notifications (administrators): the same rows for that one person, next to their Restrictions.
- My Profile → Notifications (everyone): your own list, read-only ("Your notifications are set by your administrator."), plus Notification Sounds, which is your own choice and saves as soon as you switch it.
A new user starts with their department's standard. When someone's job changes, their notifications reset to the new department's standard, the way their restrictions do.
Lead notifications
- New Lead Received: a new lead came in, entered by staff, from call tracking or from your website. A lead that arrives with a rep goes to that rep. An unassigned lead goes to everyone set to On, which by default is Admins and Super Admins.
- Lead Assigned: a lead became yours: someone changed its rep, you clicked Grab Lead on an appointment, call tracking matched you to it, or you created an estimate on an unassigned lead.
When a document is signed
- Estimate Signed: the customer signed the estimate proposal.
- Storage Agreement Signed: the customer signed the storage agreement.
- CC Auth Form Signed: the customer signed the card authorization form. People blocked from payment information don't get it, because it shows the authorized amount and card.
- Carrier Acceptance Signed: a carrier signed the Job Acceptance Form (JAF).
- Customer opened an expired link or Carrier opened an expired link: someone opened an expired link, so the rep can call and send a fresh one. It is sent once per link per day.
By default these go to the job's rep (Own work): the estimate's rep first, else the lead's rep. When nobody owns the job, the administrators who work the lead queue are told. An administrator can set anyone to On to hear about every one. A signed Bill of Lading or closing sheet sends no notification, and neither does recording a payment.
Dispatch notifications
These are On by default for Dispatchers. They come to the bell and, when your company has an Operations mailbox connected, by email from it.
- Pickup driver needed: a booked job picking up today or tomorrow has no pickup driver yet. It is checked every 15 minutes and leaves the bell once a driver is assigned.
- Job cancelled / Pickup date changed: a booked job on a Daily Board route, or picking up within 48 hours, is cancelled or gets a new pickup date. Unbooking is not a cancellation, and a changed delivery date sends nothing.
- Tomorrow's routes: one summary each evening of tomorrow's routes, local deliveries and booked jobs with no route, at the company's Route Summary Time (8 pm unless an administrator changes it on Settings → Notifications).
- Night-before crew message: the crew on a Daily Board route gets an email or a text the evening before, only when a dispatcher armed the route's Email or Text button. Unlike the alerts above it is Own work for everyone (the routes you are on). Night-Before Driver Alerts on Settings → Notifications turns these off for the whole company.
Storage notifications
These are On by default for Dispatchers and need Warehouse & Storage open. They come to the bell and, when the Operations mailbox is connected, by email from it.
- FADD changed: a stored job's first available delivery date changed.
- Release requested: someone tried to unbook a stored job that owes storage; the unbook is refused and a release request goes to the storage team.
- Storage cleared: a waiting release request was cleared. The person who asked for the release is told too, unless they are set to Off.
- Storage overdue: a storage charge is still unpaid on the next cycle date, checked once a day.
- Set back to In Storage: signing a pick-up closing sheet moved a stored job to In Transit and the portal couldn't put it back to In Storage.
- Collect storage before delivery: a job that owes storage got a local delivery date or a delivery carrier, so someone should collect before it goes out. See Scheduling Deliveries.
Email bounced
Email bounced tells you an email you sent from the portal came back undeliverable. It names the address and the reason, and the email shows Bounced in the customer's email history. An automatic email with no sender behind it alerts the estimate's rep, then the lead's rep. It is Own work by default for every office job; warehouse and field crews start at Off.
Bounce checks work for Microsoft 365 mailboxes once a Microsoft administrator for your company grants the portal's app the Mail.ReadBasic.All permission. Gmail and SMTP mailboxes aren't covered yet, and emails sent from your own Outlook or Gmail outside the portal can't be seen. See Email Integrations.
Reminder emails
- Appointment reminder email: an email 15 minutes before an appointment assigned to you, sent only when Email me 15 minutes before was ticked on the appointment (it is by default). Untick that box to stop one reminder; an administrator sets the alert to Off to stop them all.
- Accounting email: a daily Finance summary to up to 5 addresses, set up on the Accounting email card in Settings → Email Integrations.
- When a new carrier signs the JAF on a job, any carrier that had signed for it before gets a "Removed from job" email.
Other signals at the top of the screen
- Appointments: today's appointments assigned to you, refreshed every minute.
- Customers active: a badge that shows when customers you sent something to have opened or viewed it (company-wide for admins). It opens Customer Activity on the Dashboard.
- Work email needs attention or Connect your work email: your own email connection is broken or missing. Fix it in My Profile → Email Sending.
