Getting Started

Welcome to Your Portal

A tour of the portal navigation and where each part of your moving business lives.

Your portal is where your whole moving and storage operation runs: leads, estimates, booked moves, dispatch, storage, billing, and settings. You sign in with your work email and password, and you land in your own company's portal. Everything you see — logo, terms, senders, pricing — comes from your company's configuration.

One record per move

The platform uses a single record for each move: the estimate. When a customer accepts and you book it, that same estimate becomes the Booked Estimate — the move file that dispatch, storage, payments, and documents all attach to. Its estimate number is the permanent move number, so there is never a separate "job" record to keep in sync.

Finding your way around

The left sidebar is grouped by department:

  • Dashboard — the Overview with company tiles such as Booked Sales This Week, New Leads This Week, and Payments Today, plus the Sales Board and Customer Activity.
  • Appointments — the shared Appointments calendar (every company appointment and payment reminder) and the Daily Schedule, a read-only view of today's routes, trucks, and crew.
  • Sales — the CRM (My Dashboard and Follow-ups), All Leads, and Assign Leads, which shows a live count of unassigned leads.
  • Operations — the Operations Calendar, the Customer Service Calendar (for Customer Service staff only), Broker Import & AI Scanner, Carrier Dispatch (Daily Board, Ready for Delivery, In Transit, Delivered, Closing Sheets), and Live Tracking. The calendar and the Daily Board show each job's pick-up on its pick-up date and a local crew delivery on its scheduled delivery date.
  • Finance — Payroll and Reports. Reports opens the list of company reports: Salesmen Performance, Sales Reports, Operation Report, Customer Payments, Finance, and Storage. Each report filters with dropdowns and a date range. Storage is where the storage queue, every job in storage, and storage billing are read.
  • Admin — Settings, covering company information, users, pricing, communications, and integrations.

Some sections are add-on modules. If your company has not enabled Carrier Dispatch, Live Tracking, Broker Import & AI Scanner, or Warehouse & Storage, those items simply do not appear in your sidebar (the Daily Schedule goes with Carrier Dispatch). Your role and restrictions can also hide pages you are not meant to use.

Searching

The search box at the top of every screen — Search leads, booked estimates, customers... — finds any lead, estimate, or customer. Click it or press Ctrl+K (Cmd+K on a Mac). A job number works on its own: the letters in front and the dashes are optional, so typing just the digits finds the job. A customer's name, phone number, or email address works too.

Your account

Your name and role appear at the bottom of the sidebar, with the Sign out button beside them. The arrow at the top of the sidebar collapses it to icons, which is handy on smaller screens.

Click your initials at the top right of the screen to open your menu: My Profile, Settings, Help Center (it opens the help article for the page you are on), and Sign Out. My Profile has five tabs:

  • Profile — your details, your email signature, and Appearance (Light or Dark, for this device).
  • Notifications — the alerts an administrator set for you (read-only; see Your Notifications), plus your own Notification Sounds and Show the Help Assistant switches.
  • Email Sending — connect your own email so customer emails go out from your address.
  • Email Activity — the emails you have sent.
  • Security — Change Password: enter your current password, then the new one twice, and press Update Password.

First steps

  1. If you are your company's Super Admin, finish the setup checklist at the top of Settings, described in Initial Company Setup — estimates cannot be sent until its required steps are done.
  2. Add your team in Settings → Users and give each person the right Role.
  3. Create your first lead with the + button at the top of the screen (or from the CRM) and build an estimate for it.
